The Octolane notetaker joins your calls automatically, records them, generates a structured recap, and pushes everything. Transcript, action items, AI field updates. Onto the linked account, contact, and opportunity.

How it works

  1. The bot accepts every calendar invite that matches your auto-record rules.
  2. It joins the call at start time and records the full session.
  3. After the call, you get a transcript, a recap (TL;DR, key discussion points, decisions, action items), and speaker analytics. Usually within a few minutes.
  4. Action items become tasks. AI fields on the opportunity update from what was said. Everything attaches to the timeline.

Auto-record rules

Pick one mode in Settings → Meeting Intelligence:
  • All meetings. Record every meeting with a conference link.
  • External meetings. Record only meetings with at least one outside attendee. (Most common for founder-led sales.)
  • Meetings I manually invite. The bot only joins when you explicitly add the notetaker to the invite.
You can override per-meeting at any time.

The meetings view

Every recorded call shows up in the Meetings view with:
  • Meeting title and duration
  • Linked accounts
  • Participants (color-coded badges)
  • Date
Filter, search, and sort like any other Octolane view. Open any meeting to see the full recap.

What you get for every call

Full recording with a visual speaker timeline. See who talked when, and what percentage of the call each person held. Click any segment to jump to that moment.
A structured summary, regenerated on demand:
  • TL;DR. The call in 3–4 sentences
  • Key discussion points. Bulleted, organized by topic
  • Decisions made. Concrete outcomes
  • Action items. Pushed into Tasks, assigned to the right people
  • Next steps. What happens between now and the next touchpoint
Hit Generate to re-run with updated context. Hit Copy to paste the recap anywhere.
Speaker-labeled, timestamped, searchable. Click any line to jump the video to that moment.
Every participant and company on the call, auto-linked. New people from the call become Contacts; new companies become Accounts.
Any AI field on the linked opportunity refreshes from what was said. Decision maker, budget, timeline, blockers, next step. Updates show up in the approval queue (or apply automatically if auto-approve is on).
Hit Ask to query the transcript in plain English: “What objection did they raise about pricing?” or “What did Tiffany commit to send by Friday?”
Share recap or full recording with teammates, or generate a public link for an external prospect.

On a scale of 1–10, how likely is this deal to close? Cite specific moments from the call.
Compare to last call
Compare this call to the previous one with the same account. What's changed?
Extract decision criteria
What criteria did they say will drive their decision?
Find competitors mentioned
Did they mention any competitors? What did they say about each?

Setup

See Setting up Google Calendar for the calendar permissions the bot needs. Configure recording rules in Settings → Meeting Intelligence.
